The Benefits Specialist will report directly to the HR Director and be responsible for the day-to-day administration of employee benefits which includes but is not limited to: medical, dental, FSA, life & AD&D and voluntary life insurance, FMLA/short term disability, transit program, tuition reimbursement, COBRA, EAP, and 401(k) plan. The Benefits Specialist position will interface with payroll on an as needed basis.

 

RESPONSIBILITIES

Essential duties and responsibilities of the Benefits Specialist include, but are not limited to, the following:

1.     Serves as contact for day-to-day employee issues relating to benefits, leveraging our external vendor relationships as needed to provide education and resolution. 

2.     Data entry of all new hire benefits enrollments, changes and termination in ADP and vendor websites.

3.     Development of procedures to ensure monthly audits of benefits data entry is accurate and in compliance with plan document and government regulations.

4.     Administer and track FMLA/supplemental sick leave, LTD, Workers’ Comp and ADA plans to ensure compliance with plan document and government agencies.

5.     Respond to employee benefit questions in a timely and professional manner, and keep HR Director informed of any sensitive or escalated issues.

6.     Assist HR Director with the preparation of new hire and open enrollment communication materials and meetings, facilitate monthly new hire benefit orientation as needed, and administer annual benefits fair.

7.     Work with Insurance Broker, insurance carriers and employees in the solution of benefit and claim issues.

8.     Work with HR Director to develop and document benefit specialist duties and procedures.

9.     Process and reconcile monthly vendor invoices to ensure accuracy and timely submission.

10.  Analyze trends and metrics in partnership with the HR team to develop solutions, programs and policies.

11.  Provide ad hoc reporting, data consulting, and data analysis as needed.

 

QUALIFICATIONS

The Benefits Specialist requires superior attention to detail, follow though, written and verbal communications skills, and exceptionally strong professional judgment.

 

Required qualifications are as follows:                                            

·       Bachelor's degree from four-year College or university and at least 2 years related Benefit Specialist experience and/or training; or equivalent combination of education and experience.

·       Advanced knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint).

·       Proficiency with Excel, Pivot Tables, VLOOKUP, and advanced formulas.

·       Demonstrated organizational and time management skills.

·       Ability to gather data from multiple sources and consolidate via spreadsheets.

·       Ability to make thoughtful recommendations, supported by data and research.

·       Strong verbal and written communication skills.

·       High level of initiative and exceptional problem solving skills.

 

 

 

Preferred Qualifications

·       Prior experience in Benefits coordination and administration including annual enrollment strongly preferred.

·       Knowledge of Union environment preferred.

·       Knowledge of ADP Workforce Administration and ADP Reporting strongly preferred.
